To remain competitive we cannot afford to be without our critical systems for days, hours and sometimes even minutes. Leaving our systems at risk of disruption without being certain of recovery time is not an option in our very demanding and time sensitive business.
We have developed systems and strategies not only relative to the needs and requirements of our business operations but those of our clients as well. These plans will avoid business disruptions that would negatively impact the successful nature of our business and our clients business as well.
Our intent is to have the ability to rapidly adapt and respond to any business disruptions and to maintain continuous business operations. By doing so, this will guarantee and maintain trusted relationships with all clients and insure future business development.
Whether we encounter an information technology business related disruption or a natural disaster we are prepared for these challenges. We believe that taking a pro‐active approach to any potential disruption we will eliminate the need to act in a defensive nature, in the event of a downtime occurrence.
Our systems and strategies will allow us to respond to an unexpected disturbance more quickly, efficiently and in the most cost effective manner. In addition to outlining our responses to disaster situations, our real time response will insure the consistency needed to satisfy the daily operational needs of our clients.
Outages and Other Business Disruptions:
1. Power Outages
2. Telephone Outages & Loss of Internet
3. Loss of Office Facilities (Fire or Natural Disaster)
4. Computer and Server Outage
This will address each item and describe the response to each unexpected occurrence.
In the case of a power outage we have installed a generic all weather 17kw Aluminum V‐twin GT‐990 engine generator. This unit is more than sufficient to power up and operate our 4500 square foot office building. At times this unit has been in use and our office operations were not interrupted.
Telephone and Internet outages occur from time to time. However, it is rare that telephone and internet outages occur with the Fiber Optic Lines we had installed in 2009. This was a major enhancement to our business operations. This increased our speed and provided a safety net to avoid outages. Additionally we changed providers to Verizon Networks Solutions for additional security. They are the best in the Industry.
In the event of a power outage we have set up four (4) satellite locations to work from. These separate locations are equipped with computers, internet, printers, scanners and telephones in order to maintain our daily operations. These locations have been tested and we can adapt rapidly and efficiently into these working environments when and if an outage occurs in our main office location.
Our business office is insured with more than sufficient insurance coverage. We have full replacement values on our office building as well as all business equipment. In addition our office building is unencumbered by any financial institution which will allow us to navigate through this type of transition without delays caused by a financial institution. We also have more than sufficient Errors and Omissions Insurance.
Finally for the past (eight) 8 years we have all data and files backed up in three (3) separate offsite locations for additional security for our clients. We back up data internally as well as in Pennsylvania and Texas. Our IT Administrators guarantee us in the event of an outage all data and files can be recovered in one (1) day.
Our Clean Desk Policy insures that all open files are locked in a secure cabinet at the end of each day. Only the Owners and Upper Management have access to these files. Each morning the files are distributed to all employees by their direct supervisor only. All completed files are then uploaded into our system and paper files are destroyed.
Computer access is granted in levels. Owners have one level, Management has a level and Employees have their level to insure the highest level of security within the Company.
We have completed the implementation of all new hardware and a state of the art software system. This system will give our clients the ability to order searches and review their completed files through our interactive computer system. Each client will be given their own credentials so they can access their files day or night.
Background checks are performed routinely for all employees at Ryco to insure security of sensitive information and documentation. These checks have been performed and completed for the 2013‐2016 years. No negative information has been found for any employees. Prior employment verifications are conducted as well.
